SENIOR SECRETARY- Permanent Substitute
.41 FTE/ 17.5 hours
 
DEFINITION:

Secretarial and clerical work in assisting principal and staff; all related work as required as it relates to school administration.

EXAMPLES OF WORK:

Performs a variety of clerical and record-keeping activities; types letters, forms, reports, memoranda and other material form handwritten copy, rough draft, or general instructions; composes routine correspondence.

Maintains a variety of records and data related to such items as student and staff attendance records, registration, homeroom lists, student and faculty schedules, staff supervisory assignments, study hall and class lists, grade and disciplinary files, and substitute teacher lists.

May maintain records related to purchases, petty cash, budgets, checking and other accounts and other miscellaneous administrative functions; prepares a variety of reports as directed.

Answers telephone; serves as receptionist, greeting visitors, arranging appointments, routing calls, delivering messages, handling routine inquiries and referring caller or visitor to appropriate staff person.

Takes care of a variety of routine problems of students coming to the office; issues passes; calls parents when appropriate; in absence of supervisor, supervises students to be disciplined.

Assists with special programs and projects, such as field trips, parent/teacher meetings, testing, holiday programs and open houses.

Performs a variety of other clerical functions related to school operations.

RECOMMENDED MINIMUM QUALIFICATIONS;

EDUCATION AND EXPERIENCE:

High school diploma including or supplemented by courses in typing, computer software, and secretarial sciences and two year experience in general clerical and secretarial work, with school experience preferred; or any equivalent combination of education and experience.

KNOWLEDGE, ABILITY, SKILLS:

Working knowledge of office practices and procedures. Knowledge of departmental operations, ability to organize time, work independently and accomplish tasks despite interruptions. Ability to maintain clerical records. Ability to deal effectively and tactfully with parents and staff and to exercise discretion regarding confidential matters. Ability to operate various types of office equipment. Skill in typing. Willingness and ability to learn to use a computer.

SALARY: In accordance with the ASE/Andover Educational Secretaries Collective Bargaining Agreement.
